How to automate check-in communications? Send online forms and remote access codes

Updated over 2 weeks ago

Greetings, hoteliers!

Having a hard time on manually sending all the information to your guests in order to get them to check-in to your property? We have some exciting news that are going to streamline your operations! Automating guest communication and check-in processes can save time and enhance the guest experience. By integrating Amenitiz with Chekin, you can send personalized check-in links to guests for Airbnb and Booking.com reservations.

Introducing: the new communication templates

With the powerful integration of Chekin, an external partner working seamlessly with Amenitiz, you can now effortlessly handle essential tasks like sending registration links and remote access codes directly from Amenitiz. The cherry on top? You can schedule them to be sent via email or directly through the Airbnb centralised inbox (to make to most out of this tool, take a careful look at this article). To create a new template, log in to your Amenitiz account, navigate to Settings, and select Templates. Click on New Template and choose options like OTA Messaging (Booking.com and Airbnb) or OTA Messaging if the guest email is not provided (Booking.com and Airbnb).

Let's dive into the steps on how to make this process a breeze! 👇### Step-by-Step Guide to Automating Messages

  1. Create a New Template in Amenitiz: Follow the steps outlined in the previous section to set up a new template.

  2. Customize the Template: Write your message content and insert the Chekin variable to ensure each guest receives their unique check-in link or form.

  3. Configure Sending Schedule and Accommodations: Set the timing for when the message should be sent and select the applicable rooms or listings.

As seen in the video, you just need to create a template for your automated emails (check this article for even more details) and insert the corresponding variables. Ensure that the variable is correctly formatted according to the Chekin integration guidelines. This guarantees that each guest receives their unique, auto-generated check-in link or form.

To send the check-in link: ##{{chekin_signup_form_links}}

To send the remote access codes: ##{{chekin_remote_access_urls}}

⚠️ Warning

You can only use these if you have the CheKin app activated in your Amenitiz Marketplace section. Also, don’t forget that the remote access codes are a premium feature that also needs to be activated in your CheKin account.

To verify whether a guest has completed their online check-in:

  1. Log in to your Chekin account.

  2. Navigate to the reservation confirmation flow (Part 2 > Step 2 – Confirm Reservations).

  3. Check the status of the guest’s online check-in.

Last, but not least, if you've previously set up automatic emails to request check-in details from Chekin, it's essential that you deactivate this feature. 👇

Troubleshooting and FAQs
