How to create a quote 🗓️💰

The Quote Tool is an indispensable addition to the Amenitiz platform, empowering you to elevate your occupancy rates, drive more direct bookings, and effortlessly manage group reservations. In this article, we will provide you with information on how to create quotes for your potential customers.

 

Follow these easy steps to create a quote:

  1. Click on "Add a New Reservation" from your Calendar or from “Add a new reservation” at the top of the page.
  2. Choose Quote and fill in all the necessary details for the reservation. This includes guest information, stay dates, room preferences, and any additional services they may be interested in. Important to add guest email.
  3. Click on "Send Quote"

Once completed, your potential guest will receive a confirmation email containing all the quote details and indicating that it is a quote, not a confirmed booking.

❗️Guests receive the email in the language configured in the client's file.

Where do you see the quotes?

The quotes you send will appear in the planning section as potential bookings. As a result, the corresponding dates will be blocked off on your calendar.

You can also view the quotes in the reservations section, which has a column called quotes.

How do you confirm the Booking?

Should the guest be interested in proceeding with the reservation, they will need to get in touch with you either via phone or email to confirm their booking and you can confirm it on the calendar. You have the flexibility to determine the duration for which the calendar will be reserved for a particular quote, as well as the option to send a confirmation email to potential guests. 

To configure these settings, simply follow these steps:

  1. Go to "Settings"
  2. Click on "Advanced settings"
  3. Scroll down to locate the relevant options.
  4. To send a confirmation email to your client, check the box labeled "Send quote confirmation email to the client."
  5. If you have AmenitizPay, you can choose to send a payment link to validate the quote
  6. If you want to block calendar availability for a specific period, check the box marked "Quotes block calendar availability by hours."
  7. Specify the desired duration for which the availability will be blocked.
  8. Click "Save" to confirm changes.

     

    To convert the quote into a confirmed booking, you need to take action. Simply click on the "Accept" button for the respective quote in your planning section. By doing so, the dates will be permanently reserved, and the potential booking will now be a confirmed reservation.
