Add, edit and delete a charge on a booking

You may need to add a new charge, to edit or to delete an existing charge on a reservation before the guest arrives or when the guest is here. This article explains how to proceed.
  • To add, edit or delete a charge to one of your bookings, you simply go to > Reservations in your Amenitiz administrator area left sidebar.

    Once here, you will find all your bookings. Click on the booking you wish to modify and on "view booking details" :Screenshot_2021-09-29_at_16.17.39.png

    Then go to "charges":


    You will get the detail of all your charges by day. This gives you flexibility in managing your extras charges, invoices, and reports.

    1. To add a new charge: click on "new charge", and choose the charge that you want to add, the date for which you want to add it, and the quantity. The price will be automatically updated based on the quantity and price you set on > Booking Engine > Extras.
      You can also type on the search bar and look for a charge by name or category. You will find at the end of the list all your city taxes. You can also click on > Free field to create a personalized charge.
      Note that if you have multiple rooms in the same booking, you will be asked for which room you want to create the charge.

      The VAT is automatically set according to your extras, if it is a free field you can choose the VAT rate for this new charge.

      Note that you cannot create charges in the past. Charges can only be created for the date of today or in the future. This is due to tax regulations in the European Union.

    2. To edit a charge: click on "..." > Edit once you created them to change them.
      To comply with NF525 regulations, it is not possible to modify past charges.

    3. To apply a discount on a charge: You can apply a discount on a charge, for a night you will bill less than planned, for a loyal client for example. A discount can only be created on a specific charge. For legal reasons, it is not possible to add a discount on a whole booking, it is mandatory to link it to a charge. Once you apply a discount on a charge, be aware that you cannot undo this action.
    4. To delete a charge: click on "..." > Delete your charge. If you want to, you will have to recreate the charge again. 
      To comply with NF525 regulation, you cannot delete past charges. If you need to delete a past charge, you can "cancel" it. This will create a negative charge with the date of change that we call "counterpart", which is a reversal of the charge. Once you delete or cancel a charge, be aware that you cannot undo this action.

    These charges will appear on the invoice or invoices linked to this reservation, you can choose to generate a detailed invoice with all the details of the charges per day, or a simplified invoice.

    Adding, modifying or cancelling charges will update the total amount in the payments section, but the payments made or upcoming payments through AmenitizPay will not be updated automatically.   • To add a new extra from the application, follow the next steps:

    1. You can first log in to your application.
    2. Then, click on the reservation you want to manage, either from the “activity” tab, or from the "calendar" tab.
    3. You will be landed on the details of the reservation, from here you can click on "Add an extra":

    4. You can then add your extra. Only extras already added on your Amenitiz account can be selected. 
      Choose to only update the charges on the reservation, or to also process the payment for this extra:
    5. If you chose to process the payment, this page will open:
      You can click on the payment option you want and make your payment.

    6. Your reservation will be updated with this new extra.
