How to create and manage quotes in Amenitiz

Create, send, manage and delete quotes in Amenitiz — from the calendar or the invoicing tool, with optional payment link via AmenitizPay.

Overview

A quote in Amenitiz is a non-binding price proposal you can send to a guest who is considering a stay but isn't ready to book. You can send it from the Calendar or from the Invoicing tool, optionally include an AmenitizPay payment link, and turn the quote into a confirmed reservation once the guest accepts.


Step-by-step guide

1. Configure your quote settings

Before sending quotes, make sure your settings are properly configured. This gives you control over what the guest receives, how long dates are held, and whether payment can be requested.

To set up your quote preferences:

  1. Go to Settings.

  2. Click Advanced settings.

  3. Scroll down to the Quotes section.

  4. To send a confirmation email to your client, check the box Send quote confirmation email to the client.

  5. If you use AmenitizPay, enable the option to send a payment link to validate the quote.

  6. To block availability for a specific period, tick the box Quotes block calendar availability by hours.

  7. Specify the number of hours the availability should be blocked.

  8. Click Save to confirm changes.

📌 Note

If you choose to send a payment link, it will request 100% of the total amount, regardless of your usual AmenitizPay payment schedule.


2. Create a quote from the calendar

If a guest asks for a stay but isn't ready to book, you can send a quote directly from the calendar view.

  1. Go to your Calendar.

  2. Click Add a new reservation or select dates and a room from the calendar.

  3. Choose Quote.

  4. Fill in all guest details (especially the email).

  5. Add stay dates, room preferences, pricing, and extras.

  6. Click Send Quote.

Once sent, the guest receives a confirmation email with the quote details. It's clearly marked as a quote, not a booking.

📌 Note

Guests receive the quote in the language configured in their client profile.

⚠️ Warning

Quotes created directly from the calendar cannot be edited afterwards. Double-check all details before confirming.


3. Where to find your quotes

Quotes created via the calendar appear as potential bookings in the Planning section, and the dates are temporarily blocked on your calendar.

You can also find and manage all quotes from the Reservations tab, which includes a dedicated column for quotes.

Quotes created from the invoicing section appear under InvoicingQuotes.

⚠️ Warning

Quotes created from the calendar do not appear under Invoicing → Quotes. Manage these directly in the calendar.


4. Confirm a quote

If the guest wants to go ahead with the booking, you need to manually confirm it.

They can get in touch by phone or email, and you can then accept the quote from the calendar or planning view.

Click Accept to turn the quote into a confirmed booking.

📌 Note

If the guest pays using the payment link sent with the quote, the quote is automatically turned into a confirmed reservation — no manual confirmation needed.


5. Create a quote from the invoicing tool

You can also create quotes directly from the invoicing section, without going through the calendar.

  1. Go to InvoicingQuotes.

  2. Click New quote.

  3. Choose an existing client or create a new one.

  4. Add products or services (rooms, extras, etc.).

  5. Review the totals and click Generate.

This is useful for group quotes, special arrangements, or requests that don't come through your calendar.


6. Cancel or delete a quote

If a guest doesn't go ahead or you created a quote in error, you can delete it easily:

  1. Go to InvoicingQuotes.

  2. Open the quote you want to delete.

  3. Click the three dots (⋯) in the top-right corner.

  4. Select Delete.

📌 Note

If the quote was created from the calendar, delete it directly from there: click the quote in the calendar, then click Decline the quote to remove it.

⚠️ Warning

Once deleted, quotes cannot be recovered. Make sure you no longer need it before removing.
