How to contact guests through WhatsApp

You can message a guest on WhatsApp directly from their reservation — handy for quick check-in instructions, confirmation, or sending a payment link. This works from the Amenitiz web admin and from the mobile app.


Before you start

  • The reservation needs a guest phone number with the correct country code — without both, WhatsApp can't recognise the number and the message button stays disabled.

  • The guest's phone number must be registered on WhatsApp. If not, WhatsApp shows "phone number shared via URL is not validated" when you try to open the chat.

  • From the web admin, you'll be redirected to WhatsApp Web or the WhatsApp desktop app.


Message a guest from the web

  1. Open the reservation and go to the Client section.

  2. Add the guest's phone number and the matching country code. You can also edit these from the client's file in the Clients tab — the change applies to all their reservations.

  3. Click Message guest.

  4. A new tab opens prompting you to use WhatsApp Web or the desktop app. Continue with whichever you prefer.

  5. You're redirected to the conversation with the guest — start chatting.

Message a guest from the mobile app

  1. Log in to the Amenitiz mobile app.

  2. Open the reservation from the Activity tab or the Calendar tab.

  3. Tap Message guest on the reservation details.

  4. Your WhatsApp app opens with the conversation ready to start.


FAQs

The "Message guest" button is greyed out — why?

The button only activates when the reservation has both a phone number and a country code. Open the reservation's Client section and add the missing details.


I see "phone number shared via URL is not validated" — what does it mean?

It means the number isn't registered on WhatsApp. Double-check the phone number on the client's file — a typo or wrong country code is the usual cause.


Where can I edit a guest's phone number permanently?

From the reservation's Client section, or from the dedicated client file in the Clients tab — see how to modify a client's file. Editing in the client file updates every reservation linked to that guest.


Can I send a payment link via WhatsApp?

Yes. Generate the payment link from the reservation's Payments tab (see how to create a payment on a booking), copy the link, and paste it into the WhatsApp chat with the guest.


Are messages stored in Amenitiz?

No — the conversation lives entirely on WhatsApp. Amenitiz just opens the chat for you; nothing is logged on the reservation.
