How to fetch guest information from Chekin

Retrieve guest details from a completed Chekin online check-in and sync them to the client record on the booking in Amenitiz.

Overview

Once a guest completes the Chekin online check-in form, you can fetch their details directly onto the client record on the booking.

This saves manual data entry and keeps your guest files consistent. Use this before generating a registration list, issuing an invoice, or at check-in.


Before you start

  • Chekin must be activated and linked to your Amenitiz account.

  • The guest must have completed the Chekin online check-in form. If they haven't, the fetch returns an error.


Step-by-step

  1. Go to Reservations or Planning.

  2. Open the booking.

  3. Click View booking details.

  4. Click the Customer tab.

  5. Click Edit.

  6. Click Fetch Chekin info.

The client fields are filled in automatically from the guest's Chekin form.

Which details are imported

Amenitiz imports the following fields from Chekin into the client record:

Important rules

📌 Note — Only the lead guest's details are synced back to the client record. Information from additional guests on the reservation stays in Chekin.

⚠️ Warning — Blank fields in Chekin do not overwrite existing data in Amenitiz. If a field was already filled in manually, it stays as it is.

ℹ️ Important — If the lead guest's name in Chekin differs from the name on the booking, a new client is created and linked to the room instead of updating the existing client.


What is not imported

The following fields are collected by Chekin for online check-in or police reporting but are not synced to Amenitiz:

  • Date of birth

  • Gender

  • Place of birth

  • Arrival and departure dates (already on the booking)

  • Passport or ID document photos and scans

  • Check-in signature


FAQs

Why am I getting an error when I click Fetch Chekin info?

The guest has not completed the online check-in form in Chekin yet. Contact the guest, ask them to complete it, then try again.

Can I fetch information for a second guest on the booking?

No. Only the lead guest's details are synced. Additional guests' details stay in Chekin.

Will the fetch overwrite data I already filled in?

Only fields the guest filled in Chekin are updated. If a Chekin field is empty, your existing value in Amenitiz is kept.

Why did a new client appear instead of updating the existing one?

The name in Chekin did not match the name on the booking. Amenitiz creates a new client (a "stayer") linked to the room so both records are kept.

Can I fetch information from the mobile app?

No. Fetch Chekin info is only available on desktop.
