Creating customised emails for your guests

Automated emails help you keep guests informed at every stage of their stay—without adding manual tasks for your team. This guide shows you how to create and manage email templates in Amenitiz.

Where to find your templates

You can access automated email templates in two ways:

  1. Go to Settings → Templates in the left sidebar

  2. Or open the Messaging tab in the sidebar, then select Templates

How to create a new automated email

Click "+ New Template"

To create a new email, click on + New Template.

Fill in the required details

Complete the fields below to configure your email:

  • Delivery method. Choose how the message should be sent:

    • Email: Sent directly to the guest's email address.
      (For Booking.com reservations using an alias email, the message will be sent through the OTA’s chat inbox instead.)

    • OTA Messaging (Booking.com & Airbnb): Sent via the OTA’s internal chat (not by email).

    • OTA Messaging if no guest email is provided: Sends via email or OTA chat, depending on the contact info in the reservation.

  • Template name. Internal reference name (not visible to guests).

  • Template subject. The subject line shown to the guest.

  • Template body. Write your message here. Use variables to personalise the email (e.g. guest name, reservation details).

  • Documents linked. Attach any documents you want included (e.g. directions, policies).

  • Send time. Define when the email should be sent. (All automated emails follow UTC+2.)

  • Manual bookings. By default, automated emails are only sent for reservations made via the booking engine or connected OTAs. To include manually created bookings, enable the relevant option.

  • Rooms. Select which rooms the email applies to. By default, it will apply to all rooms.

  • Activation. Choose whether the template is active or inactive.

  • Preview. Use the preview feature to see how the email will appear to guests.​

Set up all active languages

If your account uses multiple languages, ensure the email content is created for each one to guarantee clear communication with every guest.

Can I send automatic messages to my guests via WhatsApp?

No, it is not possible to set up automatic message sending through WhatsApp.

At the moment, the only way to send automatic messages is by using email templates.
