How to create, sell and use gift cards

Overview

You have the possibility to propose your clients gift cards to buy on your booking engine. This article explains how to create gift cards, how your clients can buy and use them, and the terms and conditions that apply.

📌 Note

You need to activate AmenitizPay on your Amenitiz account to be able to propose gift cards. Property Manager type will not have the option of Gift cards.


Step-by-step instructions

  1. Create a gift card

    • Go to Booking engine → Gift cards.

    • Here, you will find all your gift cards. To create some, click on New gift card.

    • You must now fill in the following fields on your gift card:

      • Name and description

      • The amount

      • Period of validity (in months)

    • The name and description will be seen by the buyer of the gift card only, on the booking engine.

    • The gift cards will appear on your booking engine:

    When creating a gift card, you will set a price which correspond to an amount the receiver can use to book on the booking engine. The gift card will be used as a payment method to confirm the reservation.

    Example

    If you create a 100€ gift card, the receiver can spend 100€ on the booking engine as they want with at least 1 accommodation (+ extras if they want to add extras on the reservation).

  2. Buy a gift card

    When gift cards are created, the clients are then able to buy them on the booking engine. Gift cards can be bought on the booking engine only.

    The customer who buys a gift card will have the possibility to send it directly to a friend, by email.

    With each purchase, the payer will receive a confirmation email for the gift card and payment (with a reminder of the card amount and expiration date) and, if applied, a copy of the email to the recipient of the gift card containing all the information necessary to use the card.

    Once the gift card has been bought, you will receive it on your Amenitiz extranet, in the section Reservations → Gift Cards. From this section, you can find your current gift cards. By clicking on "details" you will have access to the updated information of the gift card (validity date, remaining amount), as well as the reservation(s) on which the gift card has been used.

    📌 Note

    Once the total amount of the card has been used up, it will no longer appear in the Reservations → Gift Cards tab.

  3. Use a gift card

    There are two ways to use a gift card:

    Option A — On the booking engine

    The receiver can use it on the booking engine by entering the code of the gift card.

    A customer can use the gift card on several bookings.

    Option B — Log the payment manually on a booking

    The owner can also register a gift card payment on a booking. This is useful in case your client is calling you to book a stay with a gift card.

    • Go to the Payments section of the booking details.

    • Click on Log payment.

    • Select the payment method Client voucher.

    • Enter the code of the gift card received by e-mail.

  4. Extend the validity of a specific gift card

    When an unused card reaches its expiry date, the amount is no longer valid and no refund can be made. You have the possibility to change the validity period of a specific gift card:

    • Go into the client sheet.

    • In Vouchers → Edit voucher, update the validity period.


Terms, conditions, and payment

⚠️ Warning

Once the gift card has been purchased, it cannot be refunded. The amount of the card cannot be updated. It is not possible to combine multiple gift cards for the same reservation.

  • You can modify gift card settings for future cards without affecting already purchased ones. For example, increasing the amount of a "Valentine's Day" gift card will only apply to future purchases, not past ones.

  • If a reservation exceeds the gift card balance, the remaining amount can be paid using available payment methods.

  • If card-only payment is accepted, the payment sales terms will apply.

  • Generating an invoice from a gift card will have 0% VAT and no additional items can be added since it's a paid invoice.


Why propose gift cards on your booking engine?

  • Cash flow: you can generate income the whole year since the money is transferred by AmenitizPay every week.

  • Giving the possibility to offer stays in your property without choosing dates in advance or a predetermined activity.

  • Avoid the risk of customer default as the booking will be fully paid through AmenitizPay before the traveller’s check-in.

  • No third party service provider generating the gift cards.

  • Attract new customers looking for gift cards, and retain existing customers who can buy gift cards for someone else after their stay.

💡 Tip

You can create a menu on your website on which you can present the gift cards you propose.


FAQs

Can I add a picture to a gift card?

No. We can not add a picture for a gift card.


Who is eligible to offer gift vouchers?

Confirm that your Amenitiz account is eligible to offer gift vouchers (e.g., B&B accounts, not Property Manager accounts), and that AmenitizPay is activated and properly configured for selling gift cards.


A gift card code doesn't work — what should I check?

Check if voucher codes are valid and ensure no expiration date issues. Also confirm the booking is being made through the booking engine and that no other gift card is already applied (only one per booking).


Can I process a gift voucher payment manually?

Yes. You can process gift voucher payments manually by accessing the Payments section in a reservation, logging a payment, and entering the voucher details.
