How to create a payment on a booking

Overview

This article explains how to create a payment from the Payments tab of a booking. You can process a payment using AmenitizPay (such as a card charge, payment link or terminal payment) or record a payment collected outside Amenitiz, such as cash or bank transfer.

A key step when creating a payment is selecting what the payment is for. Payments are always applied to bills, which group one or more charges together. This ensures that charges are paid correctly and that bill statuses update automatically.


Step-by-step instructions

1. Access the Payments tab

  • Go to Reservations or Planning.

  • Open a booking and select View booking details.

  • Click on the Payments tab.

This section shows:

  • All existing payment transactions

  • The total amount paid and still due

  • Whether the booking is fully paid, partially paid or unpaid

2. Create a new payment

  • Click Create a payment.

  • At the top of the screen, you will see:

    • Amount due

    • Already paid

    • Total amount, which may be pre-filled if there is an outstanding balance

You can keep the suggested amount or modify it.

3. Select what to pay (bills and charges)

Before choosing a payment method, you must define what the payment covers.

  • In the Select what to pay section, review the list of bills.

  • Each bill groups one or more charges (for example accommodation, cleaning fees or extras).

  • Tick the bill you want to pay.

📌 Note:

  • Only bills with an outstanding balance appear.

  • For an open bill, you can expand it and select individual charges if needed.

  • Once a bill or charge is selected, you can adjust the amount to be paid.

The Amount to be paid updates automatically based on your selection.

This step is mandatory and ensures payments are applied to the correct charges.

4. Select a payment method

You will see two categories of payment options depending on your setup.

  • AmenitizPay payment methods (processed payments). These methods allow Amenitiz to process the payment directly.

    • Examples include:

      • Credit card

      • Payment link

      • Payment terminal

      • Bank transfer

      Use these methods when the payment should be collected through Amenitiz.

  • Other transactions (manual payments). These options let you log a payment collected outside Amenitiz.

    • Examples include:

      • Manual bank transfer

      • Cash

      • External terminal

      • Cheque

      Use these when the guest has already paid you and you are simply updating the booking’s records.

5. Confirm the payment

  • Processed payments (AmenitizPay). Amenitiz charges the guest using the method you selected. The transaction appears immediately in the Payments list.

  • Manual payments (Other transactions). The payment is recorded for tracking purposes only and no funds move through Amenitiz.

After confirming, any fully paid bill will automatically be marked as Closed.


FAQs

Why are some payment methods unavailable?

Only accounts with AmenitizPay activated can use processed payment methods such as card charges, payment links or terminal payments.


Why is the amount to be paid set to €0?

You must select a bill or charge first. Once selected, the amount updates automatically and can be adjusted.


Can I pay only part of a bill?

Yes. You can adjust the payment amount to record a partial payment. The bill will remain open until fully paid.
