How to invoice from several properties that share the same VAT number in Portugal

If two of your properties belong to the same company, for example two hotels run by one Lda, they can both invoice under its VAT number. See how the link works and how invoice numbering behaves.

If several of your properties belong to the same company and share one VAT number, all of them can issue invoices under that company. You activate invoicing once, on the first property. Our team then links each other property to it, so they all invoice with the same fiscal details and the same Invopop account.

Before you start, decide how you want your invoice numbers to work: one series shared by all your properties, or a separate series for each property.

Before you start

Invoicing must already be activated on your first property. If it isn't, follow How to activate Portuguese invoicing first.

Your other properties must use exactly the same VAT number as the first one. If a property belongs to a different company with its own VAT number, activate invoicing on it separately instead.

Step by step

  1. On your second property, go to Invoices → Settings and add the hotel company with the same VAT number as your first property.

  2. Copy every other company detail from your first property exactly, including the email address, company registration number, share capital, Commercial Registry Office and VAT regime. The two companies can only be linked if these details match.

  3. Don't try to activate invoicing on this property. The Activate invoicing button stays disabled and you see This VAT number is already in use for e-invoicing. This is expected.

  4. Contact us to link the two companies, and tell us how you want your invoice numbers to work (see the next section).

  5. Once we've linked them, the hotel company shows Invoicing activated via linked company. You can now issue invoices from this property as usual.

Repeat these steps for each additional property that shares the same VAT number.

⚠️ Warning

A VAT number is activated with Invopop only once. Don't register your other properties in the Invopop portal as new companies — they all use the account of your first property.

Choose how your invoice numbers work

Your properties share one VAT number, but you can choose whether they also share one invoice series. Both options are valid. Using a separate series for each property is your choice, not a legal requirement.

Option 1: One series for all your properties

Every property uses the same series names as your first property. There is nothing extra to set up.

The numbers belong to the company, not to each property, so each property takes the next free number. When you look at one property's invoices, numbers can seem to be missing — they were issued by your other property.

Property A issues FT AMNTZ/1, property B issues FT AMNTZ/2, then property A issues FT AMNTZ/3. Property A's list shows 1 and 3. Number 2 isn't missing: property B issued it.

Option 2: A separate series for each property

Each property gets its own series names, so the numbers in each property's list follow on without gaps.

  1. Log in to the Invopop portal at at-pt.invopop.com/portal/login with the email address of your first property's hotel company.

  2. Register a new series for the property. You can use one base name for every document type (Fatura, Fatura-Recibo, Recibo, Nota de Crédito and Fatura Simplificada), or a different one for each.

  3. On the second property, go to Invoices → Settings, click Edit and enter the same base names in Invoice series name, Receipt series name, Credit note series name and Simplified invoice series name.

  4. Click Save.

📌 Note

A series name you type in Amenitiz only works if it is registered in Invopop with exactly the same spelling. Series changes are processed at midnight local time, so a new series can take up to 24 hours to take effect.

FAQs

Why do invoice numbers seem to be missing in one of my properties?

Your properties share one invoice series, so the missing number was issued by another property. Check that property's invoice list. The full sequence is complete at company level, and your SAF-T file, which is generated for the whole company, shows it without gaps.

Do I need to activate invoicing on every property?

No. You activate it once, on the first property. Every other property with the same VAT number is linked to it by our team.

Does a separate series mean a separate VAT number?

No. All your properties keep the same VAT number and invoice as the same company. A separate series only changes how the invoice numbers look.

My properties belong to different companies. Does this apply to me?

No. If each property has its own VAT number, activate invoicing on each one separately. See How to activate Portuguese invoicing.
