Overview
Your sales terms — the policies a guest agrees to when they book — show up at four moments along the guest journey. Knowing each one helps you keep the terms wording short and clear, since the same text appears in the booking flow, in payment confirmation, in the email, and on manual bookings.
Before you start
The text guests see is the one you've set up under
Booking engine→Sales Terms. See how to create and modify your sales terms if you need to edit them. Each rate plan can be linked to a different sales term — keep this in mind when wording cancellation or payment policies. The same guest may see different terms depending on which rate they pick.
1. On your booking engine, before confirming the reservation
During the booking flow on your website, the guest sees a link to the sales terms next to the confirmation button. They must click to view and tick to accept before the booking can go through.
2. On the AmenitizPay payment page, after choosing a payment method
If you collect payment through AmenitizPay (card or other supported method), the guest sees the payment rules — instalment schedule, deposit amount, cancellation conditions — right after they pick their payment method. This is the second consent point, distinct from the booking-engine one.
3. In the booking confirmation email
Once the booking is confirmed, the guest receives the confirmation email. It includes the full sales terms they accepted, embedded into the email body alongside the booking summary. This gives them a permanent record without needing to log back in.
4. On manual reservations, via the Payment Link email
When you create a booking manually in the admin, the guest doesn't go through the booking engine — so you need to send them the terms separately. Use the Payment Link option on the new-reservation form to email the guest the sales terms and ask them to accept. See how to ask guests to accept your terms when creating a manual booking.
FAQs
Are the sales terms automatically translated for the guest's language?
Are the sales terms automatically translated for the guest's language?
Amenitiz shows the terms in the booking-engine language the guest is browsing in, if you've filled in that language version under Booking engine → Sales Terms. If a language is empty, the guest falls back to your hotel's default language.
Can I add a separate house rules or T&C document on top of the sales terms?
Can I add a separate house rules or T&C document on top of the sales terms?
The sales-terms field is the only field guests acknowledge during the booking flow. To share additional documents (house rules, parking info), use the bottom of the booking confirmation email — see how to customise the booking confirmation email.
Where is the guest's acceptance recorded?
Where is the guest's acceptance recorded?
In the booking's Summary section in the admin. For both booking-engine and manual reservations, a timestamp marks when the guest accepted.
Different rate plans show different terms — is that intentional?
Different rate plans show different terms — is that intentional?
Yes. Each rate plan is linked to a specific sales term (e.g. flexible vs non-refundable). Guests browsing your booking engine see the terms attached to the rate they're about to pick. Edit the rate plan's terms link from Booking engine → Pricing.
