How to manually add a reservation

Add a manual reservation in Amenitiz — for phone bookings, iCal imports, or any walk-in. Set dates, rooms, guest details, and secure with a valid payment method.

Overview

A manual reservation is any booking you create yourself from Amenitiz — for a phone request, a walk-in, a booking received outside the channel manager, or an iCal import from an OTA without a direct integration.

This article walks through creating a manual booking from your admin or from the Amenitiz mobile app, securing it with a valid payment method, and where to find it on your calendar.

🆕 Booking multiple rooms with different dates

If a guest needs different rooms on different dates within the same booking, you can now create a split booking — one reservation with rooms on separate arrival/departure dates. This is rolling out to accounts in phases. If you see an Add a room with different dates button after picking your first room, see How to create a split booking. If you don't see it yet, follow the steps below as-is — the new flow will reach your account in a future phase.


Before you start

  • Reservations cannot be added retroactively. Legal restrictions prevent registering bookings with dates in the past.

  • Every booking must be secured with a valid payment method — manual card or bank details, or a secure link sent by e-mail.

  • Manual bookings on a room with 0 availability are allowed, but you're responsible for not overbooking.


Step-by-step instructions

Create a manual booking from the desktop

  • From the top bar of your admin, click + Add reservation.

  • In the first section, click Create booking.

  • Choose the arrival and departure dates, the room type, and the rate plan. Click the + next to your desired room type to add it. After each selection, click Next to move on.

  • In Selected accommodations, review the summary. Adjust the number of guests, the room price, or add any extras the guest needs.

  • Add the guest's information — select an existing client file or create a new one. Note any special requests on the booking.

  • Secure the booking with a valid payment method. Either enter the guest's card or bank details manually, or send a secure link by e-mail so the guest enters their own details and accepts your terms.

  • Review the summary and click Save the booking. The new reservation appears on your calendar straight away.

💡 Tip — manual booking with no upfront charge

Set the first AmenitizPay charge to 0€. The card is validated and your terms accepted, but no money is taken.

Shortcut — create a booking from the calendar

  • Go to PlanningCalendar.

  • Click the slot for the check-in day and room you want. The booking sidebar opens pre-filled with that date and room.

  • Continue with steps 3–7 above to finish the booking.

Create a manual booking from the Amenitiz mobile app

  • Open the Amenitiz app and log in.

  • Tap the + icon to add a reservation.

  • Set the dates, choose the room(s), pick the rate plan, adjust the price if needed, add any extras, and complete the guest's details.

  • Handle the payment as on desktop, then save. The booking appears in the calendar section of the app.

📌 Note

Documents (ID, agreements, etc.) can only be attached to a reservation from the desktop version of Amenitiz — not from the mobile app.


FAQs

Can I add a reservation with a past arrival date?

No. Legal restrictions prevent registering bookings retroactively, so the arrival date must be today or later.


Can I create a manual booking without charging the guest upfront?

Yes. Set the first AmenitizPay charge to 0€. The payment method is validated and your terms accepted, but no money is taken.


Can I add a document to a reservation from the app?

No. Documents can only be added from the desktop version of Amenitiz. For mobile, manage documents from a computer instead.


The room I want is fully booked — can I still add the reservation?

Yes, manual bookings can be created on rooms with 0 availability, but you're responsible for not overbooking. Double-check the calendar before saving.


How do I book a guest who needs different rooms on different dates?

If your account has the new flow turned on (you'll see an Add a room with different dates button), follow How to create a split booking. Otherwise, the current workaround is to create one booking per date range.
