How to handle passive invoices in Italy

Activate passive invoicing for an Italian property to receive a Codice destinatario suppliers use to send invoices through the Agenzia delle Entrate SdI. Invoices arrive in your Passive invoices tab, ready to download as XML.

Overview

Passive invoices (fatture passive) are the invoices your suppliers issue to you — utilities, F&B, laundry, anything you buy for the property. Italian tax rules require these to flow through the Agenzia delle Entrate's electronic invoicing system (SdI). Activate passive invoicing in Amenitiz to receive a Codice destinatario (Recipient code) that suppliers use to send invoices straight into your Amenitiz Passive invoices tab, ready to download in XML for your accountant.


Before you start

  • This feature applies to Italian properties only — it's part of Italy's mandatory e-invoicing via the Sistema di Interscambio (SdI).

  • You need your VAT number (Partita IVA) ready before starting.

  • Active invoicing (the invoices you issue) is sent to the Agenzia delle Entrate automatically — no setup needed. This article only covers passive invoicing (invoices from your suppliers).

  • For fiscal receipts (Scontrino Elettronico), the setup is separate — you'll need your Agenzia delle Entrate credentials. Contact [email protected] to enable that part.


Step 1 — Open the company information page

  1. In the sidebar, go to InvoicesInvoices.

  2. Open the Company information section and click Edit.


Step 2 — Enter your VAT number

Fill in VAT number with your Partita IVA. The passive invoicing section won't activate without a valid VAT.


Step 3 — Activate passive invoicing

  1. Scroll to the Fatturazione Passiva and Scontrino Elettronico section.

  2. Click Activate.

  3. Click Save at the bottom of the page.

Activation is processed by the Agenzia delle Entrate. Once it goes through, your Recipient code is generated automatically.


Step 4 — Find your Recipient code

Once activation is complete, your Recipient code appears in InvoicesPassive invoices. Copy it — your suppliers need this code to send you invoices via the SdI.


Step 5 — Share the code with your suppliers, then receive invoices

Give your Recipient code to each supplier. They include it on every invoice they issue. From that moment, every invoice they send through the SdI lands directly in your Passive invoices tab — no manual entry needed.

In that tab you can download each invoice in XML format for archiving and to share with your accountant.


FAQs

What's the difference between active and passive invoicing?

Active invoicing = the invoices you issue to your guests. Already sent to the Agenzia delle Entrate automatically by Amenitiz, no setup. Passive invoicing = the invoices your suppliers issue to you. Requires the activation described in this article.


I activated passive invoicing but my Recipient code hasn't appeared yet. How long does it take?

The Agenzia delle Entrate usually issues the code within a few hours of activation, but can take up to a working day during busy periods. If you still don't see it after 24 hours, check the company information page for any validation errors on your VAT number, then contact [email protected].


A supplier sent me a passive invoice but I can't see it in Amenitiz. Why?

Three things to check: (1) the supplier used your exact Recipient code, no typos; (2) the supplier issued the invoice via the SdI (not as a PDF email); (3) activation is fully completed on your side. If all three look correct and the invoice still doesn't arrive, ask the supplier for the SdI transmission receipt and forward it to support.


Can I download all my passive invoices at once for my accountant?

Each invoice is downloaded individually in XML from the Passive invoices tab. Most accounting software accepts the XML directly so you can forward the files as you receive them.


Do I need to do anything special to also receive Scontrino Elettronico (electronic fiscal receipts)?

Yes — Scontrino Elettronico is a separate setup that requires your Agenzia delle Entrate credentials. Contact [email protected] and they'll guide you through that activation.
