Three ready-to-use message templates to send your guests at key moments — pre-arrival, check-out reminder and post-stay thank-you. Copy, paste, personalise for your hotel.

Three ready-to-use message templates for your guests, covering the most important touchpoints of a stay: arrival, check-out and thank-you. Copy them into your Amenitiz templates, replace the bracketed placeholders with your hotel's info, and you're done.


How to use these templates

  1. Replace text in square brackets[Hotel Name], [Check-in Time], [Full Address]… with your hotel's actual information. Adapt the wording to sound like you.

  2. Do not edit Amenitiz placeholders — leave {{first_name}}, {{arrival_date}}, {{departure_date}} exactly as written. Amenitiz fills them with each guest's real data when the email is sent.

  3. Translate if needed — use DeepL, Google Translate or ChatGPT. The {{ }} variables stay intact through translation.

  4. Create the template in Amenitiz — follow how to set up automated emails and paste the content in.


1. Pre-arrival message

When to send: 1–2 days before arrival.

Subject: Welcome to [Hotel Name] – your stay awaits!

Body:

Hello {{first_name}} {{last_name}},

We are delighted to welcome you to [Hotel Name]! Your check-in is scheduled for {{arrival_date}}, starting at [Check-in Time].

📍 Address: [Full Address]

🕑 Reception hours: [Hours]

🅿️ Parking: [If applicable]

When you arrive, please [insert instructions — e.g. show ID, provide booking reference, check in via the kiosk].

Need directions? Here's a map: [Google Maps link]

If you plan to arrive after [time], please let us know so we can prepare accordingly.

2. Check-out reminder

When to send: 1 day before departure.

Subject: Reminder: check-out information for your stay

Body:

Dear {{first_name}} {{last_name}},

We hope you're enjoying your stay! A quick reminder that check-out is scheduled for tomorrow {{departure_date}} by [Check-out Time].

Before leaving, please:

  • Leave your room key/card at reception (or in the drop box for early departures)

  • Collect all personal belongings

  • Settle any outstanding charges at the front desk

If you'd like to request a late check-out, contact us in advance (subject to availability).

We wish you a smooth departure and thank you for choosing [Hotel Name].

3. Thank-you (post-stay)

When to send: on or 1 day after departure.

Subject: Thank you for staying with us!

Body:

Dear {{first_name}} {{last_name}},

It was a pleasure hosting you at [Hotel Name]. We hope you enjoyed your stay and created wonderful memories.

We'd love to hear your feedback. Share your experience here 👉 [link to TripAdvisor or your review form].

If you plan to return to [Destination/City], we'd be delighted to welcome you back.

Safe travels, and thank you again for choosing [Hotel Name]!

Important rules

  • Square brackets = your info. Always replace [Hotel Name], [Check-in Time] etc. before publishing.

  • Curly braces = leave them alone. {{first_name}}, {{arrival_date}} etc. are filled in automatically by Amenitiz.

  • Test before going live. Use the Preview button in the template editor to see how the email will look with sample data.

  • One template, one language. If you want to send different copy per guest language, create a version per language in the template editor.
