How to ask guests to accept your terms when creating a manual booking

Send an email asking guests to accept your sales terms and conditions, and optionally pay, when creating a manual reservation. Uses AmenitizPay's Payment Link option; acceptance shows on the booking Summary.

Overview

When you create a reservation manually in the admin, you can send the guest an email asking them to accept your sales terms and conditions — and optionally pay for the stay at the same time. The guest receives a link, ticks a box, and you see the acceptance back on the booking. Useful when you'd otherwise take the booking informally (phone, walk-in, email) but still want their signature on the terms.


Before you start

  • This feature uses AmenitizPay, even if you don't ask for payment. AmenitizPay must be active on your account for the email to send.

  • The guest must have an email address on the booking. Without it, the link can't be sent.

  • Make sure you have at least one sales term configured under Booking engineSales Terms — that's the document the guest will accept.

  • Booking-engine bookings already collect terms acceptance during the booking flow. This article is for the manual path only.


Step 1 — Create the manual reservation

Add the reservation as usual from the admin, with the guest's email — see how to manually add a reservation.


Step 2 — Send the terms-and-payment email

  1. In the new-reservation form, scroll to the Payment Link section.

  2. Set "Do you want to send a payment link to confirm the booking?" to Yes.

  3. Click Add Payment Link. Save the reservation. The guest receives an email immediately.

The email includes:

  • Your sales terms and terms and conditions to review and accept

  • A pay by credit card or bank transfer option, if you want to collect payment now

  • A Accept terms and conditions and pay later option, if you're collecting payment outside Amenitiz (cash on arrival, bank transfer, etc.)


Step 3 — Confirm the guest accepted

Open the booking in the admin and look at the Summary section. Once the guest clicks Accept Terms and Conditions in the email, the booking shows a confirmation timestamp — that's your record of consent.


FAQs

Can the guest accept terms without paying?

Yes — the email offers a Accept terms and conditions and pay later option. The guest can tick the terms and leave payment for later (or for you to collect offline). The acceptance is still recorded on the booking.


What if the guest doesn't accept the terms?

The booking stays in the admin as a regular reservation, but there's no consent record on the Summary. You can resend the email at any time from the booking. For policies you can't enforce without consent, follow up with the guest before arrival.


Where do I edit the sales terms the guest sees?

Go to Booking engineSales Terms. Each sales term has its own text, which is what the guest accepts. Edits apply to all future email sends.


Can I send the link after the booking is already created?

Yes. Open the existing booking and use the same Payment Link option to send (or resend) the email.


Does this work for OTA bookings (Booking.com, Airbnb, etc.)?

No — OTA bookings come with their own terms accepted on the OTA side; Amenitiz can't ask the guest to accept your terms on top of that. The Payment Link flow is for manual reservations only.
