How to use the report builder

Build fully customised reports on bookings, clients or payments — pick a dataset, choose fields, apply filters, export. Includes example reports.

Overview

The Report Builder in Amenitiz lets you generate fully customised reports on bookings, revenue, payments, or guests — choose your own data, fields, and filters. Perfect when standard reports don't give you exactly what you need.


Step-by-step instructions

1. Access the Report Builder

  1. In your side menu, go to Reports.

  2. Click Report Builder.

  3. Click Create a new report to start customising your data set.


2. Choose the dataset

Start by picking a dataset — it determines the kind of information you'll be working with:

  • Bookings — reservation details:

    • Booking reference, source, status

    • Check-in date, check-out date, booking date

    • Total amount, amount due, number of rooms, number of guests

    • Room type booked, extras booked

    • Room revenue, extras revenue, taxes, OTA commission

    • Client requests and comments

  • Clients — guest-related information:

    • Full name, ID type, ID number

    • Address, city, postal code, country

    • Phone number, email address

  • Payments — transactional data:

    • Payment date, amount

    • Payment method, transaction type

    • Payment status

    • AmenitizPay commission

💡 Tip

Use the search bar at the top of the field list to quickly find the data points you need — especially useful when building complex reports.


3. Build your report

Once you've selected a dataset:

  1. Select the desired fields from the dataset (revenue, booking source, dates, accommodations, etc.). These fields also act as filters.

  2. Add additional filters to narrow data by specific criteria, such as date range or channel.

  3. Export your customised report to analyse the results externally.


Examples of powerful reports

Some customer-favourite reports to get the most value from your data:

  • Dataset: Payments

  • Suggested fields: Payment date, Amount, Payment method, Transaction type

  • Optional filters: Payment status = Paid

Client Nationality Report — Discover where your guests are coming from.

  • Dataset: Clients

  • Suggested fields: Full name, Country, City, Postal code

  • Optional filters: Country is not empty

  • Dataset: Bookings

  • Suggested fields: Booking reference, Booking status, Booking date

  • Optional filters: Booking status = Confirmed | Cancelled | Pending

  • Suggested fields: Extras (incl. taxes), Quantity of extras, Client request

  • Optional filters: Extras ≠ 0

INE Submission Report (Portugal) — extract the necessary data for your national statistics reporting.

  • Datasets: Bookings + Clients

  • Suggested fields: from Bookings — Arrival date, Departure date, Rooms booked; from Clients — Country

  • Optional filters: none required

This format aligns with the official INE reporting requirements. Once exported, you can submit the data directly without manual tweaks.
