How to modify the price of a reservation 💲

Change the room rate on a reservation in Amenitiz, or edit individual charges — and know what recalculates automatically and what doesn't.

When a reservation has the wrong price — a missed manual discount, an agreed walk-in rate, an extra to add — you can adjust it directly on the booking. Two paths are available depending on what needs to change:

  • Edit accommodation — change the room rate (the per-night price).

  • Bills tab — add, edit, or remove individual charges (extras, supplements, discounts, city tax).


Before you start

  • OTA bookings (Booking.com, Airbnb, Expedia…) — the room rate is set by the OTA, so the Edit accommodation option is not available. You can still add or edit individual charges on the Bills tab.

  • Charges already on an issued invoice or a closed bill can't be edited.

  • Charges for past dates can't be edited from the Bills tab.


Change the room rate

1. Open the booking

From the admin sidebar, go to Reservations. Click the booking you want to update and open View booking details.

2. Edit accommodation

In the booking summary, find the room line. Click the three dots and select Edit accommodation.

3. Set the new price and save

Update the price in the form and confirm. The booking total in the Payments section updates immediately.


Edit individual charges

To add a supplement, fix a wrong extra, or apply a discount on a specific line — use the Bills (or Charges) tab on the booking. Click any charge to edit its price, quantity, VAT rate, or date. This works on OTA bookings as well.


Important rules

  • The booking total updates immediately after a price change.

  • Scheduled AmenitizPay payments are not adjusted automatically. If the total goes up, charge the difference manually; if it goes down, refund the excess.

  • Issued invoices are not regenerated. An invoice keeps the amount that was on it at the time of issuance — reissue it if you need the new total to appear.

  • City tax doesn't auto-recompute. City tax is a separate charge line — if your tax depends on the room price, edit the city tax line too.

  • Fixed-amount discounts don't auto-recompute. A "€20 off" line stays at €20 even if the room price doubles.

  • The OTA dashboard won't reflect the new total. Only your Amenitiz PMS will show the change — reconcile manually with the OTA if needed.

  • VAT recalculates from the new price × VAT rate.


FAQs

Can I modify the price of an OTA booking?

The room rate is fixed by the OTA, so the Edit accommodation option isn't available on OTA bookings. You can still add or edit individual charges (extras, supplements, discounts, city tax) on the Bills tab, but the OTA dashboard won't reflect those changes.

What happens to AmenitizPay payments I've already scheduled?

They don't change automatically. The booking total in Payments updates, but any scheduled card charge or refund stays as it was. If the new total is higher, charge the difference. If it's lower, refund the excess.

What happens to an invoice I've already issued?

An issued invoice is not regenerated. It keeps the amount that was on it at the time of issuance. If you need the new total on a document, reissue the invoice.

Does city tax recalculate when I change the room price?

No. City tax is its own charge line. If your tax depends on the room price, edit the city tax charge separately on the Bills tab.

Will Booking.com or Airbnb see my new total?

No. Changes you make in Amenitiz stay in your PMS. The OTA still shows the price the guest originally booked. If the guest needs to see a new total or a refund, you'll have to handle that through the OTA's extranet too.
