Understanding the indicators

Indicator

Simplified definition (full explanation here)

Total rooms sold

Total number of booked room-nights within the selected period.

  • Based on stay dates.

  • Cancelled bookings are excluded.

Total available rooms

Total number of room-nights that were available to receive bookings during the selected period.

Availability is affected by room blocks and rate settings.

Occupancy rate (%)

Percentage of available rooms that were booked.

Formula: Rooms sold ÷ Rooms available × 100

Occupancy reflects how much of your available inventory was filled during the selected period.

Room revenue

Total revenue generated from room-night charges during the selected period.

  • Based on stay dates.

  • Excludes extras and city tax.

Average Daily Rate (ADR)

Average room revenue per booked room-night.

Formula: Room revenue ÷ Rooms sold

ADR measures your average selling price for occupied rooms.

RevPAR (Revenue per Available Room)

Average room revenue per available room-night.

Formula: Room revenue ÷ Rooms available

RevPAR reflects both pricing and occupancy performance.

RevPAC (Revenue per Guest)

Revenue per guest staying during the selected period.

Formula: Room revenue ÷ Number of guests

RevPAC shows how much room revenue each guest generates on average.

Average length of stay (LOS)

Average number of nights per booking during the selected period.

A higher length of stay generally reduces operational workload and increases revenue stability.

Lead time (if displayed)

Average number of days between booking creation date and arrival date.

Helps measure how far in advance guests book.

Number of guests

Total number of guests staying during the selected period.

Based on stay dates.

Number of breakfasts sold

Total number of extra breakfasts sold during the selected period.

Only breakfasts recorded as breakfast-tagged charges are included.

Breakfast capture rate

Percentage of guests who purchased breakfast.

Formula: Breakfasts sold ÷ Number of guests

This helps identify upselling opportunities.

Revenue summary

The revenue summary shows totals generated from:

  • Accommodation (room revenue)

  • Reception hall bookings (if applicable)

  • Extra charges

  • City tax

Revenue may be displayed as:

  • Gross revenue

  • Net revenue

  • Taxes

For detailed definitions of gross, net and tax calculations, refer to this article.

For a charge-by-charge breakdown, export the VAT charges report to Excel.

Registered payment summary

  • Follow a cashflow logic

  • Are assigned to the payment date

  • Include refunds on the refund date

  • Are shown at hotel level only

Troubleshooting

The report is not arriving by email

Check your spam folder and the addresses you entered in Recipients. You can also click Export to download the file straight away.

Indicators do not match what I see in the calendar

Ensure you are comparing the same date range. The General Report uses stay dates and excludes cancelled bookings.

Available rooms look incorrect

Check for out of order or out of inventory blocks and verify rate availability during the selected period.

Breakfast numbers seem low

Breakfasts included in the room rate are not counted unless recorded as a breakfast-tagged charge.

Revenue numbers do not match the VAT charges report

The General Report uses stay-date allocation for performance metrics. The Excel file of the VAT charges report lists charges by charge date.
