How to generate your INE survey report in Spain

Fill in your INE settings, export the monthly XML file from Reports, and upload it to the INE IRIA portal. Includes what to do if the export is blocked by missing guest data.

Overview

Amenitiz builds your monthly INE (Instituto Nacional de Estadística) survey report from your bookings and guest records. You fill in your INE settings once, export the XML file for the month, and upload it to the INE IRIA portal as it is — no manual edits needed.

This article covers the settings, the export, the upload, and what to do if the export is blocked by missing guest data.

Before you start

  • The INE report is available only for properties located in Spain.

  • You can only export a month once it is over. To file September, export it from 1 October.

  • Guests need a nationality, and Spanish guests also need their Autonomous Community. If you use Chekin with online check-in and SES registration set up, these are filled in automatically when guests check in.

Step by step

1. Fill in your INE Report Settings

You only do this once. Review the employee numbers before each report.

  1. Go to Reports → Compliance → INE.

  2. Click INE Report Settings at the top of the report.

  3. Fill in the fields described below.

  4. Click Save.

The page is split into sections. Some only appear for certain establishment types:

  • Establishment Information — your Establishment type (this decides which INE format the XML uses), Category, Registration number and Legal business name (Razón Social). CIF/NIF for INE submissions is optional: leave it blank to use your property's company registration number.

  • Report Contact (apartments and rural tourism only) — the Job title (Cargo) of the person filing. Name, phone and email come from your profile.

  • Employee Information — Unpaid staff (for example, owners or family members), Permanent employees and Temporary employees. Update these each month so they match your current staff.

  • Apartment Classification (apartments only) — assign each room type to an INE apartment size.

  • Rural Tourism Settings (rural tourism only) — how your property is structured and how you rent it.

📌 Note

Some details INE needs, such as your address and company registration number, come from your property profile. If any are missing, the INE Report Settings page lists them, and the report shows a Some fields are missing badge until you add them.

2. Export the XML file

  1. Go to Reports → Compliance → INE.

  2. Under Period, select the month you are reporting. The report always covers a full month.

  3. Click Export → Export to XML.

The XML file downloads to your computer. If it doesn't, see the troubleshooting section below.

💡 Tip

For your own records, click Export → Export to Excel. The spreadsheet shows arrivals, overnight stays and room occupancy by day, nationality and Spanish region.

3. Upload the file to INE

  1. Go to the INE IRIA portal and sign in.

  2. Upload the XML file you exported.

If the export is blocked

Amenitiz won't create an XML file that INE would reject or that would under-count your guests. The export stops in two cases:

  • The month isn't over yet. Wait until the first day of the next month, then export again.

  • Guest data is missing. Usually a guest's country, or the Autonomous Community of a Spanish guest. You receive an email titled Your INE report needs attention before it can be generated, listing each guest record to fix.

How to fix each guest record

  1. Open the email from Amenitiz.

  2. Click the Fix client link next to a record. It opens that guest's profile in Amenitiz.

  3. Add the missing country or region, then save the profile.

  4. Repeat for every record in the email.

  5. Go back to Reports → Compliance → INE and export the XML again.

📌 Note

If you don't know a guest's region and can't find it in the booking or their ID, don't guess. A wrong region stays on the guest's profile and affects every future report.

Avoid this next month

  • Make the region field mandatory in your online check-in, so guests can't finish check-in without it.

  • Connect Chekin with online check-in and SES registration set up, so country and region are filled in automatically.

  • Before exporting, check that recent bookings have a country and, for Spanish guests, a region.

What the report includes

  • Guest movements — arrivals, departures and overnight stays for each day, grouped by nationality. Spanish guests are also grouped by Autonomous Community.

  • Room occupancy — occupied rooms each day, split into double rooms used by one guest, double rooms used by two or more, and other rooms.

  • Prices — ADR and RevPAR for the month, and ADR and share of occupied rooms by channel (direct, OTA, manual and company bookings).

  • Property and staff — your property name, address, province, postal code, phone number and CIF/NIF, your number of rooms and available places (without extra beds), and the employee numbers from your INE Report Settings.

⚠️ Important

  • Only confirmed and modified bookings are counted. Cancellations and no-shows are left out.

  • Children are counted as occupants, together with adults.

  • Guests from a country that isn't on INE's list are counted in your totals, but not by country name.

FAQs

Do I need to edit the XML file before uploading it?

No. The file contains every section INE requires, in the right format for your establishment type.

INE asked me for one week. Why does the file cover the whole month?

INE only accepts a full-month XML, even for the weekly questionnaire. Upload the full-month file with your weekly questionnaire credentials. One upload covers both your weekly and monthly obligations.

Can I email the report instead of downloading it?

You can email the Excel file, but not the XML. To get the XML, use Export → Export to XML.

Can INE still reject my file?

It is rare, because Amenitiz checks your settings and guest data before creating the file. If INE does flag an error, check your INE Report Settings and the guest profiles for that month, then export the XML again.

Why do some channels show zero in the prices section?

Amenitiz identifies four booking sources: direct, OTA, manual and company bookings. Channels it can't identify, such as tour operators, travel agencies and groups, are reported as zero. INE accepts this.

I changed my establishment type. Do I need to export again?

Yes. The establishment type decides the XML format, so export the month again after changing it.

Why can't I see the INE report?

The INE report only appears for properties in Spain. Check that your property's country is set to Spain in your property profile.

Why are my INE figures wrong?

The report uses the country and region on each guest's profile. If these are missing or wrong for guests who stayed that month, the figures by nationality and region will be wrong too. Correct the guest profiles, then export the month again.

I have many guest records to fix. Can I fix them all at once?

No. Each record has to be fixed on its own. The links in the email take you straight to each guest's profile.

Can Amenitiz fill in a default region for all the missing records?

No. Amenitiz doesn't know where each guest is from, and a wrong region would stay on their profile for every future report. Add the region for the guests you can identify.
