How to create a new extra

How to create extras in Amenitiz — optional or mandatory charges like breakfast, parking, or cleaning fees that guests can add during booking or that you can apply to existing reservations.


Overview

Extras are additional charges you can offer guests on top of the room rate — things like breakfast, parking, late check-out, spa treatments, or city tax. They appear during the booking process on your booking engine, and can also be added to reservations from the extranet or the mobile app.

This article answers: "How do I create a new extra, how do I price it correctly, and how do I add one to a reservation that already exists?"

📌 Note

Extras created in Amenitiz aren't sent to OTAs. If you want the same extras on Booking.com, Expedia, or another OTA, you need to create them on the OTA side too.


Pricing options: per article vs. per guest

The combination of Per article or per guest and Manual quantity determines how the extra is priced and whether guests can adjust the quantity. Here's how the common setups work, using a breakfast extra as the example:

  • Per guest, Manual quantity = No — the extra multiplies by the number of guests automatically. If 4 people are in the room, 4 breakfasts are added. You then choose whether to apply it on the arrival day only, the departure day, every morning, or every night of the stay.

  • Per guest, Manual quantity = Yes — the price is per guest, but guests pick how many mornings they want the breakfast.

  • Per article, Manual quantity = Yes — guests choose the exact number of breakfasts. Useful when adults and children pay different prices: create two separate extras (e.g. Breakfast — adult and Breakfast — child) so each can have its own price.

📌 Note

When Manual quantity is set to Yes, you can't combine it with Arrival day, Departure day, Every morning, or Every night — the quantity is whatever the guest selects.


Create an extra

  1. Navigate to Extra Charges

    • Go to Booking Engine → Extra Charges in the left-hand sidebar. You'll land on Your extras, which lists every extra you've created so far.

  2. Start a new extra (or edit an existing one)

    • Click Add a new extra, or click Edit extra on an existing one to update it.

  3. Fill in the details

    • Name and Description — both are required and shown to guests on the booking engine.

    • Category — optional. If you've created categories, link the extra to one. Here's how to create and manage categories.

    • Price calculation — choose Fixed amount or Percentage. If you choose Percentage, set what it's Based on.

    • Per article or per guest — decide whether the price applies once per booking or multiplies by the number of guests. See Pricing options above.

    • Apply automatically — set to Yes to make the extra mandatory on every new booking. See How to make an extra mandatory.

    • Manual quantity — set to Yes if guests should choose how many they want.

    • Availability — restrict the extra to specific accommodations or rate plans.

    • Applied to — choose Arrival day, Departure day, Every morning, or Every night, and use Except to exclude specific days.

    • Prior notice — set the minimum number of days in advance the extra must be booked. Use 0 if it should always be available.

    • Availability period — restrict the extra to a specific date or season if needed.

    • VAT rate — set the applicable VAT for this extra.

    📌 Notes

    • Use Every morning for extras served in the morning (e.g. breakfast) — they land on the mornings actually served, so reports like the Breakfast Report stay accurate. Use Every night for per-night charges (e.g. parking) — same behaviour as the previous Every day.

    • Applied to is only available when Price calculation is set to Fixed amount. If the price is a Percentage, you can't choose when the extra applies.

  4. Save the extra

    • Click Save to apply all settings.

    • Once your extras are set up, you can preview how they appear to guests on the booking engine — here's how to run a design test before going live.


Add an extra to an existing reservation

You can also add an extra to a reservation that's already in your calendar — from the web or from the mobile app.

  1. Open the reservation

    • Open the booking from the Activity tab or the Calendar.

  2. Add the extra

    • Click Add an extra. Only extras already created on your Amenitiz account can be selected.

  3. Choose whether to also process the payment

    • Update the charges on the reservation only — the extra is added and remains pending payment.

    • Or process the payment — the payment page opens; pick a method and complete the charge.

  4. Confirm

    • The reservation is updated with the new extra.


FAQs

Why isn't my extra showing up for guests during booking?

A few things to check:

  • Apply automatically is set to No — if it's set to Yes, the extra is mandatory and added automatically, so guests don't see it as an option.

  • The extra is linked to the correct accommodations and rate plans under Availability.

  • The Availability period (if set) covers the dates the guest is booking.

  • The Prior notice isn't blocking the extra — if it's set to 7 days and the booking is for tomorrow, the extra won't appear.


Can I sell extras to clients who don't have a room reservation?

No. Extras must be linked to a reservation tied to a room in your calendar, so it isn't currently possible to sell standalone extras (like a spa treatment or a breakfast) to someone who hasn't booked a room. Every extra needs to be attached to a valid booking to be scheduled and invoiced correctly.


Will my extras show up on Booking.com or other OTAs?

No. Extras created in Amenitiz only apply to bookings made through your Amenitiz booking engine. If you want the same extras to be available on an OTA, you need to create them directly in the OTA's extranet.


Can I have different prices for adults and children on the same extra?

Not on a single extra. The cleanest approach is to create two separate extras (for example, Breakfast — adult and Breakfast — child), each with its own price, and have guests pick the right one during booking.
