How to set up the invoicing tool

Set up your company details, invoice numbering and multiple companies in Amenitiz, and find the extra invoicing rules for your country.

Overview

The invoicing tool lets you create invoices, credit notes and estimates from your bookings and client files. This article covers the setup that works the same in every country: your company details, how document numbering works, and how to add more than one company.

Several countries have extra legal requirements on top of this setup. Check Rules for your country below before you issue your first invoice.

Before you start

  • You need the Invoices section in your sidebar. If it's greyed out or missing, see how to activate the invoicing tool.

  • If your property is in France, Spain, Portugal, Italy or Mexico, read Rules for your country first. Some of these countries need an extra activation before you can issue invoices.

Rules for your country

Amenitiz applies each country's invoicing rules for you, but some countries need an extra step or follow extra rules. Find your country below and follow the linked article.

In any other country, the steps below are all you need.

Step-by-step instructions

1. Add your company details

  1. In the sidebar, go to Invoices.

  2. Click Settings.

  3. Under Company details, click Add a company — or click Edit on an existing company.

Add a company in Invoice Settings

Fill in your company's details. The required fields depend on your country. You'll usually need:

  • Status

  • Business name

  • Address, City, Zip code and Country

  • Company registration number (where it applies)

  • VAT number

  • Currency

Also add the Email and Phone number you want to show on your invoices.

2. Set your invoice numbering

Scroll down to the Invoice settings section of the same form and enter a series name for each document type:

  • Invoice series name — used for your invoices.

  • Credit note series name — used for your credit notes.

Every document number has two parts: the series name you choose, and a sequential number that Amenitiz adds automatically. For example, the series name INV2026 gives you INV2026-1, INV2026-2, INV2026-3, and so on. Enter only the series name, never a document number.

Invoice numbering and prefix settings

📌 Note

A series name must start and end with a letter or a number. Characters such as hyphens are only allowed between letters or numbers: INV-2026 works, INV2026- does not. Each company needs its own series names — two companies can't use the same one.

⚠️ Important: how changing a series name affects numbering

  • Numbering is continuous. It does not restart automatically at the start of a new year.

  • A new series name starts again at 1.

  • The change applies after your next day closing. Documents you issue before then keep the current series name and continue its sequence.

  • Documents you've already issued are never renumbered.

Example

Your invoices use the series name INV2026 and the last one is INV2026-145. You change the series name to INV2027 during the day. Invoices you issue that same day continue as INV2026-146, INV2026-147… After the day closing, the next invoice is INV2027-1.

3. Save your details

Click Save at the bottom of the page.

In France you can only save once every required field is filled in. In other countries you can save with missing fields, but complete them all: missing details can stop invoices from being issued or leave them incomplete.

Managing multiple companies

If you run several legal entities — for example different properties or brands — add a separate company for each one:

  1. Under Company details, click Add a company.

  2. Fill in the details for that company.

  3. Enter its own series names in Invoice settings.

  4. Click Save.

When you create an invoice, you can choose which company issues it.

Example

If you run a hotel and a villa under different legal names, you can issue each booking's invoice from the right company.

FAQs

Which extra rules apply in my country?

If your property is in France, Spain, Portugal, Italy or Mexico, see Rules for your country above. In other countries, the steps in this article are all you need.

When does a new series name take effect?

After your next day closing. Documents you issue before then keep the current series name. In Portugal, a new series name applies straight away, from the next document you issue.

Why didn't my numbering restart after I changed the series name?

Most likely because you issued documents on the same day. The change only applies after the next day closing, so documents issued that day keep the previous series name. From then on, numbering starts at 1 with the new series name.

Why did my numbering restart at 1 unexpectedly?

The series name was most likely changed — a new series name always starts at 1. Check the series names under Invoices → Settings → Edit.

Does numbering restart at the start of a new year?

No. Numbering is continuous across years. If you want a new sequence each year, change the series name (for example to INV2027) before you issue the first invoice of the new year.

Should I add a number, like "-1", to the series name?

No. Enter only the series name. Amenitiz adds the sequential number automatically, so adding your own number creates confusing document numbers.

Can I renumber invoices I've already issued?

No. Issued documents keep their number. A new series name only applies to documents issued after the change.

Why can't I save my company details in France?

In France, Status, Business name, Currency, Address, City, Zip code and Country must all be filled in before you can save. Complete these fields and try again.
