How to switch rooms on a reservation

Reassign a booking to a different room — drag and drop on the Calendar for quick swaps, or use the booking details panel for multi-room or linked-room bookings. Doesn't move dates; warns you before creating an overbooking.

Overview

You can change the accommodation assigned to a booking — useful for offering an upgrade, redistributing across rooms to free up an inventory gap, or fixing a mis-assignment. Two ways to do it:

  • Drag and drop on the Calendar — the quickest way for individual swaps.

  • From the booking's details panel — via the three-dot menu, with a dropdown to pick the new accommodation. Works for any booking, including multi-room ones.


Before you start

  • Switching the accommodation changes which room the guest is in. It doesn't change the dates of the stay — for that, see how to edit dates of stay in a reservation.

  • If the destination accommodation is already booked for those dates, Amenitiz shows a warning ("This unit is already booked!") and asks you to confirm — proceeding creates an overbooking. Either modify the other booking first, or pick a different accommodation.

  • Drag and drop has limits: it can only change the accommodation (not the dates), and it doesn't work for rooms or cottages that are linked together. For linked units, use the booking-details flow instead.

  • Once the switch is saved, availability updates automatically on your Booking Engine and on connected OTAs (Booking.com, Airbnb, etc.) — no manual sync needed.


Drag and drop on the Calendar

  1. Go to PlanningCalendar in the sidebar.

  2. Find the booking bar you want to move. Click and hold on the left edge of the bar, then drag it up or down to the new accommodation row on the same dates.

  3. Release to drop. The booking is reassigned and saved.


Switch from the booking's details panel

  1. Open the booking from Reservations in the sidebar (or click it on the Calendar).

  2. Click See booking details to open the side panel.

  3. In the summary section, click the three-dot menu () next to the room and select Switch accommodation.

  4. Pick the new accommodation from the dropdown. Amenitiz checks availability on the booking's dates and warns you if there's a conflict.

  5. Confirm. The booking moves to the new accommodation; availability syncs to the Booking Engine and OTAs.


FAQs

Can I switch rooms from the mobile app?

Yes. Open the reservation from the Activity tab or the Calendar tab in the Amenitiz app, then tap Switch room in the booking details. Same flow as the web — pick the new accommodation and confirm.


What happens if the new accommodation is already booked?

Amenitiz shows a warning modal: "This unit is already booked! If you decide to proceed you will overbook this accommodation. You may need to modify other bookings in your property to avoid this." You can cancel and pick a different accommodation, or proceed knowing you've created an overbooking that you'll need to resolve.


Why can't I drag a linked room (or cottage)?

Linked rooms/cottages share inventory and can't be reassigned individually via drag-and-drop — the linkage would break. Use the booking-details flow (See booking detailsSwitch accommodation) instead, which respects the linkage rules.


Does switching to a different room category change the price?

No — the switch moves the booking to a different physical unit but doesn't automatically recalculate the price. If the new accommodation is in a different rate plan or category and you want the price adjusted accordingly, edit the charges manually on the booking.


Will the guest be notified about the room change?

No. Switching the accommodation is an internal change — no email or notification goes to the guest. If you want to tell them (especially for an upgrade!), send a message separately.
